The Administrative Assistant provides administrative support to Operations by performing various administrative, accounting, and clerical duties requiring general knowledge of office routine and an understanding of the organization, programs, and procedures related to the work in the department.

Responsibilities

• Thoroughly check and correct time entry for all employees. Send emails with any questions or missing time to supervisors and make any requested changes.
• Track attendance and paid time off for all employees. Verify accuracy, complete, and compile back up paperwork for invoice processing. Monitor expense reports ensuring that they are submitted in a timely manner while communicating with supervisors any discrepancies/missing documentation.
• Provide phone coverage for the department with courtesy, take accurate messages, and respond to internal and external requests for information using knowledge of company policy as a guide.
• Distribute incoming mail, faxes, express mail deliveries, packages, and other material to department staff in a timely manner
• Update job/phase list with new jobs and employees.
• Maintain department filing systems and routes.
• Coordinate department office administration including booking events, invoice processing, the planning of meetings, travel arrangements, and ordering of office supplies.
• Perform other related duties as assigned or requested.
 

Education, Skills, Experience Needed


• High School Diploma or General Education Degree (GED) and 2-4 years related experience or equivalent combination of education and experience.
• Oral communication skill to communicate with customers, co-workers, and business contacts in a courteous and professional manner.
• interpersonal communication skill to work effectively with others in order to coordinate activities and arrive at mutual decisions.
• Ability to read and understand documents, such as procedure manuals, reports, and correspondence.
 

Working Environment

  • Work is performed in a typical indoor office environment
  • Flexibility to work various schedules and stay late when necessary with little or no notice
  • Must be able to read documents, use a computer, communicate verbally and in writing
  • Mobility required within an office, warehouse and construction site environments
  • Ability to occasionally lift up to 20 pounds

Requirements

• Perform all duties in conformance to appropriate safety and security standards
• Pre-employment, random, post-accident, and reasonable suspicion drug screens
• Provide US work authorization documents
• In-state driver’s license with no more than 3 moving violations and no DUIs within a two year rolling period
• Satisfactory Criminal History Check
